FOCUS Information Services is committed to protecting personal information and being transparent about what information we hold on anyone who has been in contact with us. We recognise that our members and contacts may be concerned about the information they provide to us, and how we treat that information. We also understand that privacy is a human right that benefits us all. Using data fairly is important to us as is using it securely.

This policy applies to all activities undertaken by FOCUS Information Services within the UK. FOCUS collects data to provide the service that is at the core of our business. The processing of data will be handled securely and sensitively to the best of our abilities and in line with our data classification.

The type of personal information we collect

We currently collect and process the following information:

  • Name and Surname 
  • Email address
  • Home address
  • Phone Number
  • Nationality
  • Role and position in the company they work with
  • Previous country and city lived
  • Children and their age if any
  • Specific concerns regarding the relocation if any

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you (either filling in the join us form on the homepage, or filling in the membership questionnaire through your employer or the relocation company) for one of the following reasons:

  • Contact you directly,
  • register you as FOCUS member,
  • grant you access to our services, including our website

We also receive personal information indirectly, from the following sources in the following scenarios:

  • Your employer or the relocation company working for your employer, when they send us your details to register you as FOCUS member.

We use the information that you have given us in order to register you as FOCUS member, contacting you through email messages, adding you to our newsletter mailing list and posting our magazine to your home address.

We may share this information with Zenith Print Group, the company who prints and posts our magazine.

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

(a) Your consent. You are able to remove your consent at any time. You can do this by contacting FOCUS Information Services office@focus-info.org

(b) We have a vital interest.

(c) We have a legitimate interest.

Consent

Consent will depend on the mode of communication and FOCUS will at all times deem consent is given for contact via emails/phone/post albeit even if implied as in providing email/telephone (mobile) number/postal address when accessing the members only area of our website.

We will only contact members and contacts with regards to the product/service concerned or similar. For all other email/phone contact we will seek expressed consent via email before communicating with members. Therefore, if you received an email from us, your email address is either listed with us as someone who has expressly shared this address for the purpose of receiving email communications from us, purchased from us or otherwise have an existing relationship with us and have consented to receiving communications from us related to FOCUS’ ‘legitimate interest in pursuance its objects/aims and objectives’.

How we store your personal information

Your information is securely stored.

We keep your personal information we collected from you or your employer and the relocation company working with your employer for the duration of your FOCUS membership and five year after that. We will then dispose your information by deleting your data form our database system.

Your right of access – You have the right to ask us for copies of your personal information.

Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.

Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.

Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
